Key Duties and Responsibilities
- Maintain and update payroll and employee records, ensuring all employee changes are accurately processed and appropriately authorised.
- Administer and maintain the timekeeping system, including employee setup and programme allocations, monitoring approved timesheet submissions, and ensuring accurate transfer of timekeeping data to and from payroll systems.
- Manage leave administration, including leave planning systems, leave balances, sick leave, overtime, and annual leave accruals/provisions.
- Prepare and distribute payroll-related reports, including labour reports, overtime reports, leave balance reports, headcount reports, and monthly payroll and management reports.
- Handle payroll-related queries from employees and management professionally and efficiently.
- Calculate and process salary increases, back pay, termination payments, annual leave provisions, and accruals.
- Reconcile payroll-related general ledger accounts.
- Assist the Finance Department with month-end payroll consolidation processes.
- Ensure all payroll and HR reports are generated and distributed as required.
- Ensure payroll compliance with all statutory, legislative, and internal reporting requirements.
Education and Experience
- Matric certificate.
- Diploma or Certificate in Payroll, HR or Finance will be an added advantage.
- Minimum of 3 years' experience in a payroll environment performing full payroll functions.
- Proven experience with payroll systems and timekeeping administration.
- Experience in payroll reporting and reconciliation processes.
- Sound understanding of payroll legislation, statutory requirements, and payroll best practices.
- Proficient in Microsoft Office Suite, particularly Excel, Word and Access.
- Experience with VIP Payroll, Sage ESS, Biometrics, and ERS Timekeeping will be advantageous.
